AI receptionist · WhatsApp

AI WhatsApp answering for UK trades. She had already replied.

WhatsApp is where a customer shows you the problem instead of trying to describe it. Carrie answers the message and keeps the photograph or the video with the job. She asks what she still needs to know, and hands you a lead you can price. Nothing sits on read until Monday.

It runs on your business WhatsApp, not your personal one, so your own messages stay yours.

How it works · three steps

How does AI WhatsApp answering work?

AI WhatsApp answering replies to every message your business account gets. It keeps whatever they sent with it, and writes the job up with the picture attached.

01

Customers show you instead of telling you

A photograph of the boiler badge, a video of water coming through, a voice note recorded standing in the kitchen. It is easier than finding the words, so it is what people do.

02

Carrie answers and asks the rest

She replies straight away, asks what she still needs, and asks for another picture where one would settle it. Everything stays in the thread they are already in.

03

You get the job with the picture on it

Name, number, where, what has gone wrong, and the photograph they sent, together. You price it from where you are instead of driving out to look.

One video, sent on a Sunday night

What it looks like

Twenty to ten on a Sunday night. A woman in Acton can hear something in the front of her car that was not there on Friday, and she has no words for it. She films it on her phone with the engine running and sends it to the WhatsApp number off your website, because that felt easier than trying to describe it to a stranger.

The reply comes back in under a minute, asking whether it does it when she turns and whether the car is safe to drive to you. By the time you look at your phone on Monday morning, you have the video, the answers, her registration and her number.

You ring her at half seven and you know before she arrives whether it is a five minute look or a day on the ramp.

Change the trade and the shape holds. A roofer gets a photograph of a stain on a bedroom ceiling. A salon gets a picture of the colour somebody actually wants rather than a word for it. The thing they could not describe arrives before you have to ask for it.

When do people actually message you on WhatsApp?

At three points, and only the first is one you plan for. They message before they have chosen anybody, again while they are deciding between you and two others, and again after you have been. A message nobody answers costs you the same job at all three.

  • Before they have chosen anybody. They have a problem and no words for it, so they photograph it and send it to whoever will look. You get the picture, and you get it first.
  • While they are deciding. Somebody weighing up three firms is holding three threads. The thread that gets answered is the one they carry on in, and yours is answered in seconds.
  • After you have been. The question about the part, the guarantee or the bill comes back to the same thread. It is the easiest work you will ever win back, and it is answered rather than missed.

Questions

What people ask about WhatsApp answering

The questions are mostly about the things WhatsApp carries that a text does not: pictures, video and voice notes.

What exactly is AI WhatsApp answering?

Somebody answering your business WhatsApp every time a message lands, at any hour. Carrie reads what they sent, replies properly, and asks what she still needs to know about the job. She writes the whole thing up for you with whatever they sent attached.

It is your business account, so it sits alongside how you already work rather than replacing anything.

Can I just ring them back instead?

Ring them. The phone is the fastest thing you own, and phone answering is in the £45 with the chat on your website. WhatsApp is one of the five channels you add on top.

A message wins the moments a call cannot. It asks nobody to stop what they are doing. You get it while you are already on another call, which is the moment the next caller hears your voicemail. And it turns up written down, so the job is not sitting in somebody's memory until they type it up.

How does it compare to just answering it myself later?

Later is the problem. A WhatsApp sits on one grey tick or on read, and the person who sent it can see that. A stretch of nothing is when they message somebody else, and unlike a phone call you never find out it happened.

Answering at the time also gets you a better job. They are stood in front of the problem when they message, so that is the moment to ask for the other photograph.

Can it actually understand a photograph?

It keeps every photograph and video with the job, so you see exactly what they saw. Where it helps, she asks for a clearer one, or for the make and model off the badge. That is usually what a picture of a boiler is missing.

The diagnosis stays yours, because telling somebody what is wrong with their boiler off a photograph is the part they are paying you for. She makes sure you are looking at a clear picture and the make and model off the badge before you decide.

What about voice notes?

People send them constantly on WhatsApp, usually because their hands are wet or they are stood in the loft. They are understood and written down. What they said arrives with you as words rather than as a two minute recording you have to listen to twice.

Which trades and local services is it for?

Anybody whose customers can show them the problem. Plumbers and heating engineers, roofers, electricians, glaziers, pest control and drainage. Garage doors and appliance repairs too. Every one of them gets more out of a photograph than out of a paragraph.

A salon gets sent a picture of the colour somebody wants. A garage gets sent a dashboard warning light. It works just as well for both.

Is it my personal WhatsApp?

No. It runs on your business account, so your family group and your personal messages are nowhere near it.

Do customers have to save my number first?

No. They message the number off your website, your Google listing or the WhatsApp button. It works the same whether they have saved you or not.

Does she hold a proper conversation or send one reply?

A proper conversation. If they answer her question she answers back, the way anybody would. That is the difference between this and an away message, which answers once and then stops.

Who gives the price?

You do, and she gets you there faster. She gathers everything you need to price it, often without a visit, and the number stays yours to give.

Can I take over the chat?

Yes, whenever you like. It is your account. You reply in the thread and she steps out of it. You are never locked out of your own conversation.

What if somebody rings on WhatsApp instead of messaging?

A WhatsApp voice call is a call, so it goes the way your calls go. Phone answering is the page for that, and the two work together rather than separately.

Who can she message on WhatsApp?

Everybody who messaged you, which is the part that is straightforwardly allowed under Meta's rules for a business account. WhatsApp is Meta's, and those rules are about messaging somebody who has not messaged you first.

What if it is somebody I already know?

An existing customer gets the same answer, in the same thread, with their message put in front of you. She does not treat a regular as a cold enquiry.

What does it cost to run?

The setup and the monthly are on the price list. Messaging charges are billed on to you at what they cost us, itemised, and never marked up.

Is my data safe and is it GDPR compliant?

Your customers' details, and the pictures they send, are yours. They are held in your own database on your own project, never pooled with anybody else's, never sold, and never used to sell anything. If you leave, you take them and we delete our copy.

Everything is encrypted on the way and at rest, and what is collected and why is set out in the privacy notice. A photograph of somebody's house is personal data and it is treated as such.

Does anything know you take messages at all?

Only where the page says so in words. Somebody who would rather send a photograph than describe a problem asks an assistant which firm will look at one. They get one answer, assembled out of what could be read. A green circle in the corner of the screen is a picture to everything except a person.

  • Say it as a sentence. "Send a photograph on WhatsApp and you get an answer back" is a fact something can match. A floating icon is not, however obvious it looks to you.
  • The number, the hours and what you are happy to look at go beside the button as text, rather than living inside it.
  • Google's guide for site owners says its AI answers run on its ordinary ranking systems, so there is no separate thing to buy here either.

The next step · twenty minutes

How many WhatsApps are sat on read?

Open it and look at the ones from last week. Every one you have not answered is somebody who has already asked somebody else.

Twenty minutes with Chad. Nothing to pay and nothing to sign. The whole receptionist, and all seven channels, are on the AI receptionist page.
