What it looks like

Twenty to twelve on a Sunday. A man in Halstead has finally sat down after the weekend and emails three firms about a flat roof that has been leaking since the spring. He attaches two photographs taken from an upstairs window and forgets to say where he lives.

By the time you look at your phone the reply is written, thanking him for the pictures and asking for the address and whether there is somewhere to get a ladder up. You read it over your tea and send it. He answers before he has finished his. The other two firms have still not opened their email.

When does an emailed enquiry actually arrive?

At night, at the weekend, and long after you have stopped for the day. An email is what somebody writes once they have finally sat down with it. That happens before they have chosen anybody, again while they are comparing quotes, and again after the work is done.

  • Before they have chosen anybody. They write to three firms in one sitting and attach the photographs, because typing it out beats explaining it to a stranger. You get the fullest version of the problem anybody sends you.
  • While they are comparing quotes. A written answer is the thing they can forward to whoever else has a say. Yours is written the moment it lands and goes out as soon as you have read it.
  • After the work is finished. The question about the invoice, the guarantee or the next job lands in the same thread. None of it feels urgent, so it waits. It is answered and written up like anything else, and you decide what goes back.

What exactly is AI email answering?

Somebody reading and answering the enquiries that come into your business email, at any hour. Carrie replies from your own address and asks for anything the email left out. The enquiry becomes a job on your list, with the attachments kept.

Who presses send on an email?

You do, every time. Every reply is written and waiting, and nothing reaches a customer until you have read it.

That is deliberate. An email goes out from your address, with your name on it. It is the one channel where a sentence is a document somebody can forward. Once you have read a few weeks of them and you are happy, you can turn that off and let it reply on its own. It is your switch, not ours.

How does it compare to answering them myself on a Sunday?

Most of these do not get answered late. They do not get answered at all. Email is the channel that quietly rots. It is not urgent enough to interrupt a job, so it waits. By Thursday it feels too late to reply at all.

Getting the reply out the same evening also gets a better job out of it. The person is still sat there and will answer a follow-up question there and then. The reply is written and waiting, so sending it is one tap.

Can I just ring them instead of writing back?

Ring them if you would rather, and the phone is still the quickest way to settle anything. Phone answering is in the £45 with the chat on your website, and email is one of the five channels you add on top.

The reason to answer an email in writing is that it is already written. Nothing has to be typed up afterwards and nothing rests on somebody remembering the address. The customer can forward your answer to whoever else is deciding.

A call you cannot take turns into a voicemail you know about. An email you never get to just sits there, and nothing tells you it did.

Is an emailed enquiry worth much?

Often more than a phone call, because the person has taken the trouble to write it down and usually attaches pictures. What kills it is the wait, not the channel.

Which trades and local services is it for?

Anybody who gets written enquiries: builders, roofers, landscapers, decorators and anybody quoting bigger jobs, where the customer wants a record of what they asked for.

It is equally useful for a practice or a garage taking bookings and questions by email, where the same message arrives again and again.

Does it reply from my own email address?

Yes. It is your address on the reply and your thread. The customer sees a normal answer from the firm they emailed, rather than something from a system they have never heard of.

What happens to junk and marketing emails?

Nothing. They are not enquiries, so they never become jobs and they never reach your list. That alone is most of an inbox for a small business.

What about attachments?

They are kept with the job. A photograph of the fault, a floor plan, a schedule, a previous quote from somebody else. All of it stays attached to the enquiry rather than buried in a thread you have to go and find.

Who gives the price?

You do, and she gets you there faster. She reads what the email already told her, asks for whatever it left out, and puts it all in front of you. The number stays yours to give.

What if the email is about an existing job?

It is put in front of you rather than treated as a new enquiry, and the reply says a person will come back to them. Somebody chasing a job they have already booked does not want a form filling in.

Can I take over the thread?

Yes, at any point. Reply in your inbox as normal and she is out of it. It is your address and your mail, and nothing is locked away.

Does it work with Gmail or Outlook?

Yes, with the business email you already use. There is no new address to hand out, nothing to migrate, and nothing for you to set up. We do that part.

What if she is asked something she does not know?

She says somebody will come back to them on it, and writes the question down with the job. You are not left reading the thread from the start to work out what they wanted.

What if nobody answers her follow-up question?

Then you still have the enquiry, with the gap named on it, so you can ring instead of guessing. And if that enquiry then sits too long, enquiry chasing nudges you rather than the customer.

What does it cost to run?

The setup and the monthly are on the price list. Email costs almost nothing to send, so there is no per-message charge on this one to pass on.

Is my data safe and is it GDPR compliant?

Your customers' emails and their attachments are yours. They are held in your own database on your own project, never pooled with anybody else's, never sold, and never used to sell anything. If you leave, you take them and we delete our copy.

Where do the answers you type all day actually end up?

In one inbox, where nothing else will ever see them. The reply you have now written five times this month is the best page on your site that nobody has built. It is a real question with a real answer, in your own words. That is precisely the shape of thing an assistant lifts when it quotes somebody.

  • Take the questions you answer most and give each one its own heading, with the answer in the first sentence underneath. The first sentence is the part that gets quoted.
  • Short survives being lifted and long does not. A tight answer comes out whole. A wall of text gets cut off somewhere nobody chose.
  • None of this is a product we sell you separately. Google's own guide says its AI answers rest on ordinary search work, so it is part of the page rather than an extra line.
